Terms of service

These terms apply to every consulting engagement with voix. They are grouped under headings so each clause can be found and cited.

Effective date: September 27, 2026.

Parties and acceptance​

In these terms, "voix" means voix, a documentation studio in Chișinău, Republic of Moldova, reachable at [email protected], and "you" means the client named in the quote. Provider details are on the imprint.

You accept these terms when you accept a quote in writing, which includes a reply by email, or when you pay the first invoice under it. If a quote and these terms disagree, the quote wins for that engagement.

Scope is set by a written quote​

Every engagement starts with a written quote. The quote defines the scope, the deliverables, the price, the invoicing schedule and any dates. Work that the quote does not describe is not part of the engagement.

Services​

voix provides consulting services in these lines, described in detail on the services page:

  • Documentation migration to docs-as-code, including Confluence and Zendesk migrations to Docusaurus.
  • Support-ticket mining into knowledge base articles and FAQs.
  • AI-ready content structuring.
  • Localization and linguistic quality assurance (LQA) for any language pair.
  • Docusaurus and docs-site engineering, including WCAG 2.2 AA accessibility audits and remediation.
  • Release operations on a monthly retainer.
  • Multilingual AI data work.

Quotes, changes and out-of-scope work​

A quote states how long it stays open. Once accepted, it fixes the scope and the price for the work it describes.

If you want something the quote does not cover, voix will say so before doing it and send a written change: what the new work is, what it costs and how it affects dates. Out-of-scope work starts only after you approve that change in writing. Small clarifications that do not add work are not changes.

Fees and payment​

Prices are set in US dollars. Euro amounts shown on the site are for reference; the quote states the currency you are invoiced in. Current prices are on the pricing page.

  • Fixed-price projects are invoiced per slice, on the schedule set out in the quote.
  • Hourly and daily work is invoiced monthly for the time worked in that month.
  • Retainers are invoiced monthly. You can cancel a retainer at the end of any paid month by telling voix in writing before the next month starts.
  • Per-word localization and LQA are invoiced as the quote sets out.

Invoices are payable by the due date shown on them. Bank and payment-provider fees on your side are yours to pay.

Late payment​

If an invoice is not paid by its due date, voix may charge interest at the statutory rate that applies under the governing law, and may pause work on the engagement after telling you in writing. Paused work resumes once overdue invoices are paid, and any dates in the quote move by the length of the pause.

Acceptance and the 30-day fix window​

When a deliverable or slice is delivered, you review it against the quote. It counts as accepted when you confirm it in writing or publish it to production, whichever comes first.

For 30 days after delivery, voix fixes defects in the delivered work at no charge. A defect is anything that does not match what the quote describes, or an error voix introduced. Changes you or third parties make after delivery, and new requests, are not defects; they can be quoted as new work.

Client responsibilities​

To keep the engagement on schedule, you agree to:

  • provide access to the exports, repositories, platforms and analytics the quote needs, and keep that access working for the length of the engagement;
  • name a contact who can answer questions and make decisions;
  • review deliverables promptly and send feedback in one consolidated round per slice where possible;
  • make sure you have the right to share the material you send, including any third-party content in it.

If access or reviews arrive late, dates in the quote move accordingly.

Partner linguists and subcontracting​

Romanian and Russian localization is done in-house. Other languages are handled through vetted partner linguists, each bound by a written confidentiality agreement at least as strict as the confidentiality policy. The quote says which languages go to a partner, and voix remains responsible to you for their work. No other part of an engagement is subcontracted without your written approval.

Confidentiality​

voix treats your exports, tickets, repositories, credentials and unreleased product information as confidential, uses them only for the engagement, and does not name you as a client without your written permission. The full rules, including retention and deletion, are in the confidentiality policy.

Intellectual property​

Once you have paid in full, you own the deliverables made for you: the converted and written content, the structure, and the configuration created specifically for your project.

voix keeps its rights to generic tooling, scripts, templates, checklists and know-how that existed before the engagement or are not specific to you. Where any of that is included in a deliverable, you receive a non-exclusive, perpetual license to use and modify it for your own documentation.

Open-source components used in a deliverable stay under their own licenses, and those licenses apply to your use of them.

AI-assisted tooling​

voix may use AI-assisted tooling for drafts, conversion and quality checks. A person reviews everything before it is delivered, and responsibility for the work stays with voix. Your material is used only with tools and settings that do not use it to train third-party models.

If you prefer that no AI-assisted tooling is used on your material, say so, before work starts or at any point during it. voix will confirm in writing and tell you if this changes the effort in the quote.

Limitation of liability​

The total liability of voix for an engagement, whatever the cause, is limited to the fees you have paid for that engagement. voix is not liable for indirect or consequential damages, including lost profits, lost revenue or business interruption.

Nothing in these terms limits liability that cannot be limited under the governing law.

Termination​

Either party can end an engagement by written notice. You pay for the work done up to the date of termination: completed slices at their quoted price, and work in progress at the hourly or daily rate in the quote, or pro rata where the quote sets no rate. Either party can also end an engagement immediately if the other seriously breaches these terms and does not fix the breach after written notice.

On termination, you keep the deliverables you have paid for, and your material is returned or deleted as the confidentiality policy describes.

Governing law and disputes​

These terms and every engagement under them are governed by the laws of the Republic of Moldova. Disputes go to the courts of Chișinău. Mandatory rules of the law that applies to you, which cannot be excluded by contract, still apply.

Changes to these terms​

voix may update these terms. The version in effect when you accept a quote applies to that engagement for its whole length; a new version applies only to quotes accepted after its effective date, which is shown at the top of this page.
